Tours & experiences

Bookings for tours and experiences

Guided tours, workshops, tastings and group activities follow different rules than a simple appointment: multiple participants per booking, a maximum number of seats per slot and resources to assign. GrowFlow Booking handles all of it with capacity-based experiences, group bookings, native Google Calendar sync and a customizable widget on your own domain.

  • Experiences with capacity and participants per slot
  • Group bookings with several people at once
  • Resources assigned to each experience
  • Availability rules per individual calendar
  • Native Google Calendar synchronization
  • White-label widget and email confirmations

Experiences with participants and per-slot capacity

Experiences (ExperienceType) are built for group activities: you set how many people each time slot can host and the system automatically tracks remaining seats. Once a slot reaches its maximum capacity it stops being offered, preventing overbooking. It's the right model for guided tours, workshops, tastings and any activity where several customers share the same time.

Group bookings with multiple participants

A customer rarely books for themselves alone: with GrowFlow Booking they can add multiple participants in a single booking. Seats are subtracted from the slot capacity in real time, so availability stays accurate even when families, couples or groups book together. Each booking captures the details you need to manage the group on the day of the activity.

Resources dedicated to each experience

Every experience can be linked to the resources it needs to run, so availability reflects how your business actually operates. Resources help you organize parallel tours, rooms, equipment or guides without clashes, keeping control over what can be booked and when.

Per-calendar availability and Google Calendar

Each calendar has its own availability rules: days, time slots and opening hours are configured independently to match seasonality and shifts. Native Google Calendar synchronization keeps bookings aligned with the agenda you already use, so existing events and new bookings never overlap.

White-label widget and email confirmations

The booking engine lives where you need it: a white-label widget you embed on your own site with your colors, without sending customers off to third-party platforms. Every confirmed booking triggers a confirmation email to the customer, reducing no-shows and delivering a professional experience end to end.

Frequently asked questions

Can I accept group bookings with multiple participants?
Yes. A single booking can include several participants: the system subtracts seats from the slot capacity in real time, so availability stays accurate even with groups, families or parties.
How does per-slot capacity work?
Each experience has a maximum capacity per slot. As bookings come in the remaining seats go down and, once capacity is full, the slot stops being shown — no risk of overbooking.
Can I assign resources to an experience?
Yes. Each experience can be linked to the resources it needs (rooms, equipment, guides), so availability reflects your real operational capacity and you avoid clashes between parallel activities.
Do bookings sync with Google Calendar?
Yes, Google Calendar synchronization is native. Bookings stay aligned with the agenda you already use, and existing events are taken into account when calculating availability.
Can I put the booking form on my own website?
Yes. The white-label widget embeds on your own domain with your colors and branding, without redirecting customers elsewhere. Every confirmed booking automatically triggers a confirmation email.
